SOP Campaign Setup in HeyReach

Overview

This SOP covers how to configure and QA LinkedIn outreach campaigns using HeyReach.

Objective / Definition of Done

Objective:
Launch a fully configured HeyReach campaign that runs without manual intervention and follows current deliverability and messaging guidelines.

Definition of Done: - ✅ Campaign created and named correctly - ✅ Leads imported and mapped - ✅ Message sequences added - ✅ Intervals and delays set - ✅ Sending accounts assigned - ✅ QA check completed


Step-by-Step Process

1. Create or Open the Campaign

  • Create a new campaign using the same name as the campaign folder in Drive:
    Format: YYYY-MM-DD - [Targeting Info]

  • Confirm the objective and ICP match the campaign strategy.


2. Import Leads (if not already done)

  • Upload the full list of leads (not just verified emails).
  • Confirm all columns (e.g., {{first_name}}, {{company}}) are mapped correctly.
  • If available, use enriched leads from Clay with personalization tokens.

3. Add Messaging Sequence

  • Step 1: Connection Request

    • Use a light, non-salesy message — or no message at all if not specified.
    • Example:
      "Hey {{first_name}}, noticed you're in {{industry}} — thought we should connect."
  • Step 2: Follow-Up 1

    • Triggers after connection is accepted. Casual message referencing pain point or value prop.
    • Example:
      "Appreciate the connection! I work with HVAC sales teams to make outbound more predictable — curious if you're exploring pipeline automation?"
  • Step 3: Follow-Up 2

    • Sent 2 days later if no reply. Softer CTA.
    • Example:
      "Totally cool if now’s not the time — happy to share what’s working for similar teams if that’s worth a quick look!"
  • If connection request not accepted:

    • Add passive engagement steps like:
      • View profile
      • Like a post
      • Wait 2 days between each

4. Set Timing & Delays

  • Default: 2-day delay between each step
  • Wait 2 days before profile views or likes
  • HeyReach recommends only 1 post like to avoid looking spammy

5. Assign Sending Accounts

  • Select one or more warmed-up LinkedIn accounts
  • Default sending limits:
    • Max 10 new connections/day
    • Max 10 follow-ups/day
  • Make sure limits match current account health and usage across campaigns

6. QA Check Before Launch

  • ✅ All steps have message variations (if no spintax is supported)
  • ✅ Tokens ({{first_name}}, {{company}}) appear correctly in previews
  • ✅ Sequence logic is correct (e.g., follow-ups only send after connection)
  • ✅ Passive steps (likes/views) are spaced appropriately
  • ✅ Sending limits are correctly set
  • ✅ Test campaign logic with a sample contact, if needed %%
